Design assistant

  • What is the Design Assistant and how do I use it?

    The Design Assistant is an “assistant within an assistant”. It gives you a quick and easy way to add your own text and images to design templates that have already been created. Our tip for newbies.

  • Design Assistant instructions

    1. On the start page of LabelAssistant Online, select a design template and open it by clicking on “Design online”. The design will be loaded to your workspace.

     

     

    2. Click on the magic wand icon to open the Design Assistant.

     

     

    3. First replace the placeholder text with your own text. Then click on “Next”.

     

     

    4. In the next window replace the placeholder image with your own image. Then click on “Next”.

     

     

    5. Now you can apply your chosen design to all the labels or only to certain ones. When you are finished, click on “Next”.

     

     

    6. In the last window you can now print your labels or return to your workspace to continue editing your labels.

Standard functions for designing labels

  • How do I insert text and align it?

    Select the "T" button and click on the text field icon. A text object will be created in the upper left-hand corner of the label. Enter your text here. To start a new line, hit the Return key. The size of the text object depends on how much text you enter. When you are finished entering text, click outside the text object. By clicking on it again, you can change the font, font size, font style and font colour below the "Insert text field" button. To move the text object to another place in the label, drag it while holding down the mouse button.

    Active text objects are accompanied by 4 icons. Use the icons to delete the text object (top left), rotate it (top right), adjust the size (bottom right) and orientation, and to change the object level (bottom left).

    If your label is displayed too small, you can enlarge your work area using the slide control at the left.

    Tip: If, say, you want to use a larger font for the postcode and city in an address, create a separate text field. Use the grid to align different text fields.

  • How do I change the font size and the text properties?

    Select a text object by clicking on it. The icons for text properties will appear below the "Insert text field" button. Use them to change the font, font size, font style and font colour.

    Please note that only one font size can be used per text field. If you want to have text of a different size, create a separate text field for this purpose.

    Tip: Use the grid to align different text fields.

  • How do I insert a shape and align it?

    Select the “Insert new shape” button and click on the rectangle icon. You can choose between a rectangle, circle and line. Holding the mouse button down, make a shape of the required size.

    Active shape objects are accompanied by 4 icons. Use the icons to delete the shape object (top left), rotate it (top right), adjust the size (bottom right) and orientation, and to change the object level (bottom left).

     

     

     

  • How do I change the shape colour and shape properties?

    Select an object by clicking on it. You can then specify the colour of the fill, the border colour, the border width, the type of line, the corner form and the corner radius in the object settings below the "Rectangle" , "Circle" or "Line" button.

    You can choose from 32 colours or specify the colour as an RGB value (such as 255, 0, 0 for red) or hexadecimal value (such as FF0000 for red). Click on “Close” to confirm your selection.

     

     

     

  • How do I insert an image?

    HERMA LabelAssistant online allows you to make use of any image stored on your hard disk. All you have to do is upload it.

    Select the “Insert image” button and click on “Upload image”. A browser window will open, allowing you to choose an image file. The image that you choose will be shown in the middle of your label. Click on the object to activate it and move it where you want or change its size. To deactivate the object, click in the work area.

    Note: The graphic formats JPG, GIF, TIFF, BMP and PNG are supported. Please make sure that your image does not exceed the maximum file size of 5 MB.

  • How do I move an object?

    Click on an object to activate it. When an object is activated, it has orange icons on its borders. While holding down the mouse button, drag the object in the work area.

    If you move an object outside the printable area, you will get an error message and your label will have a red border.

  • How do I rotate an object?

    Click on an object to activate it. It will then have orange icons on its borders. Click on the circular arrow in the upper right-hand corner. Holding down the mouse button, rotate the object.

  • How do I adjust the size of an object to the size of the label?

    It is easy to adjust an object to the size of the label. Select an object by clicking on it. It will then have orange icons on its borders. Click on the right mouse key and select “Align object”.Then select “Adjust size to label”. Your object will now have the same size as the label.

    Tip: Put your object into the background to make your other objects visible.

     

     

  • How do I copy an object?

    To copy an object which you are going to need more than once, click on the Copy icon to the left of your label. The selected object will be transferred to the clipboard. Use the Insert icon next to it to insert the copied object into the label.

    Tip: Use the shortcuts Ctrl+C to copy and Ctrl+V to insert.

     

     

  • How do I delete an object?

    Click on an object to activate it. It will then have orange icons on its borders. To delete it, click on the Delete icon in the upper left-hand corner or press the Del key when your cursor is in the object frame.

     

     

     

  • How do I change the sequence of object layers?

    Click on an object to activate it. It will then have orange icons on its borders. Click the right mouse key and select "Change object layer". Here you can move the object to different layers. You can also move it to the very top or very bottom layer.

     

     

  • How can I change the view size?

    To the left of your label there are two magnifier icons that can enlarge or reduce the view. That means that you can design even small labels with ease.

     

     

  • How do I change the background colour of my label?

    You can assign a different colour to each label. Use the "Select fill colour" button at the left of the label. Here you can choose from 32 colours or specify the colour as an RGB value (such as 255, 0, 0 for red) or hexadecimal value (such as FF0000 for red).

    Note: For technical reasons it is not possible to print coloured labels in white (text or logos).

     

     

     

  • Can I copy the contents of one label to another?

    If you want to copy the contents of one label to another, you must first save the target label on your hard disk or online. Select an object and copy the contents using the Copy icon at the left of your label or use the shortcut Ctrl+C. Do not close the label file because this will cause the information to be deleted from the clipboard. Open the target label by selecting “File – Open file from hard disk / Open a file saved online”. Insert your object using the Insert icon at the left of your label or the shortcut Ctrl+V.

    You can also copy the contents of one label to another on the same sheet. Select an object and copy it using the Copy symbol or the shortcut Ctrl+C. Then switch to the page view of the label to which you want to copy the object. Insert the object using the Insert icon at the left of your label or the shortcut Ctrl+V. The copied object will remain in the clipboard until you copy another object or quit HERMA LabelAssistant online.

  • How do I cancel a selection?

    Cancel the current selection by clicking on an empty part of the label.

  • How do I create identical labels?

    An especially useful option, available under “Design – Page view”, is to specify an identical design for all the labels. Select the "All labels identical" button.

    After designing one label you can print out a whole sheet of the same kind.

     

     

  • How do I design labels individually?

    Click at the right of the page view on the label that you want to design.

    The label currently being worked on is highlighted in orange. Change to a different label by clicking on a different field on the sheet.

    Labels already containing objects will be highlighted in grey. This helps you to find labels you have edited.

     

     

  • How do I switch between portrait and landscape?

    You can make any label in either portrait or landscape format. This is especially useful for file spine labels. Use the two icons at the left of the label to switch between portrait and landscape.

    Tip: When you switch from portrait to landscape format in HERMA LabelAssistant online, the label is rotated by 90 degrees for display. However, you must still feed the label sheet to the printer in the usual manner. There is no need to change any settings in Adobe Reader.

     

     

Mail merge instructions

  • How do I merge documents?

    1. Open LabelAssistant Online, enter the article number in the selected field and press Enter.

     

     

    2. This takes you to your workspace. Click on the “Mail merge” icon (see illustration).

     

    3. The mail merge assistant now appears. Click on “Here we go”.

     

     

    4. In the next window, click on “Browse” to find your Excel file for mail merge. Please make sure that this file does not have any hidden columns, hidden rows or merged cells. In the first row, placeholders should be defined for the various columns.

     

     

    5. When you have uploaded the Excel or CSV file, a window will appear with a list of the columns in your file. Click on the fields to select the ones that you want to add to your label. Click on “Add fields” to add fields as groups of placeholders.

    Tip: In this window you can also choose whether to create fields independently or as barcode or QR code. Click on “Finish up and continue” to print your labels or continue editing them.

     

     

    6. Position the placeholder fields on your label as needed – done!

     

     

    Tip:  When you are finished, use the PDF preview to check your labels. Certain text fields might be too small, in which case you will have to adjust your layout. To edit selected fields which you have created, select the “Mail merge” button.

     

     

  • Mail merge – Can’t open a file?

    Your Excel file must not contain any columns or rows that are hidden or merged. The first row of the file should have placeholders for the various columns.

Bar & QR Codes

  • How do I insert a bar code?

    Select the “Barcode/QR code” button and click on “Barcode”. In the window which opens, first select the barcode type and then enter the barcode text. Then click on “Generate barcode”. You can move or rotate barcode on the label as with any other object.

    You can also insert a barcode when merging documents. After uploading your file, select the “Set up barcode/QR code” checkbox in the Mail merge wizard. Then specify the fields for which you want to create a barcode. "

     

  • What types of barcode are there, and what characters may I use?

  • How do I insert a QR code?

    Select the “Barcode/QR code”button and click on “QR code”. In the window which opens, enter your text or target address. Then click on “Generate QR code”. You can move or rotate QR code on the label as with any other object.

    You can also insert a QR code when merging documents. After uploading your file, select the “Set up barcode/QR code” checkbox in the Mail merge wizard. Then specify the fields for which you want to create a QR code."

     

     

Printing and saving labels

  • How do I print documents?

    Click on the “Print preview” button on the toolbar at the right. A preview window is displayed. Here you can select “Print settings” to modify the print layout. Use the arrows at the margins of the label sheet or type in values for the x axis (layout moves to the left or right) or y axis (layout moves up or down).

    Click on “Print / Create PDF”. A PDF document will be generated which you must download to your PC. The label sheet will be displayed on your screen before you download it. This is a good opportunity to check it before printing. Save the PDF file on your computer and open it.

    You can then print the document on a suitable label sheet in the usual manner.

    To ensure that the label design is exactly placed on the sheet, HERMA LabelAssistant online automatically sets “Page Scaling” in Adobe Reader to “None”.

    Note: The perforated lines on the labels are not shown in the PDF document; otherwise, they would be printed out.

    If the PDF file is opened in your browser, first save it on your hard disk. Do not print from your browser window as this can lead to incorrect placement.

     

     

     

     

  • What if the printing is offset or crooked?

    Owing to technical differences between printers, the label sheets may not be fed in a straight line. In many cases this can be remedied by using the single-sheet feed.

  • The printed image of the PDF is good, but it is offset.

    When you print from Adobe Reader, make sure that you have selected “Actual size” under “Page Sizing & Handling”.

  • How do I save documents on my hard disk?

    If you want to resume editing your label design at a later time, you can save your document locally. Click on the "File" button and select “Save file locally"". The file will be downloaded to you, where you can save it on your hard disk (file extension “eao”).

    Tip: To edit a file that was saved on your hard disk, click on "Open file" on the home page of HERMA LabelAssistant online.

    The file cannot be edited with local software.

  • How do I save documents online?

    If you want to resume editing your label design at a later time, save your document online by selecting “File – Save online” under "File". A window will open where you can enter the file name.

    Note: To save your labels online, you must be registered in HERMA LabelAssistant online and be logged in. (How do I register?)

  • Why does LabelAssistant online redirect me to the HERMA home page when I click on “Print”?

    Please empty your Browser cache. LabelAssistant online should then work correctly.

User account

  • How do I register?

    There are two ways to register. Go to our home page and click in on the grey “Login” button on the right. Then click on the “Register” button. Alternatively, you can click on “Register” in the menu of HERMA LabelAssistant online.

    When you register, you must supply certain information. This information will be used only for managing your personal account. The HERMA data protection rules apply. You can read them when you register.

    For security reasons you will receive a confirmation link by e-mail. Click on this link to activate your account. The online functions of HERMA LabelAssistant online will then be available to you.

    If you do not receive a confirmation by e-mail, please check your spam folder. Log in using your e-mail address and your personal password. "

     

     

  • How do I log in?

    There are two ways to log in. Go to our home page and click on the grey “Login” button on the right. Enter your e-mail address and password. Alternatively, you can click on “Login” in the menu of HERMA LabelAssistant online.

    "If you have forgotten your password, click on “Password forgotten” to request a new one. Enter your registered e-mail address. You will then receive an e-mail with a link for choosing a new password. "

  • How do I log out?

    To log out, click on “Logout” in the menu. If you saved your login data on your computer, they will be deleted.

  • I’ve forgotten my password. What should I do?

    If you have forgotten your password, click on “Password forgotten” to request a new one. Enter your registered e-mail address. You will then receive an e-mail with a link for choosing a new password.

  • How can I delete my templates?

    You can delete templates saved online at any time. Click on the file icon and select “Open a file saved online”. You will see a list of the templates that you have saved. Delete them manually by clicking on “Delete file”.
